Case study · Life coaching + NYC real estate · Two sub-accounts
A coach's funnel and a broker's list, on one agency
One owner runs two businesses from one GoHighLevel agency: a life-coaching practice and a New York City hospitality real-estate team. The coaching account turns quiz-takers into scored, nurtured, booked clients. The real-estate account warms up a 10,000-contact list safely and tracks every inquiry back to the listing it came from.
The system
Two businesses, one way of working
Both accounts follow the same idea: capture a lead with a reason to talk, let the contact's own behavior (a quiz score, a reply, a click, a form for a specific listing) decide what happens next, and keep the list clean so the emails keep landing.

Coaching · System 1 · Capture
A free quiz that sorts the leads
Most people curious about coaching aren't ready to book a paid call. An email address alone gives the coach nothing to talk about.
- The FREE Life Alignment Check quiz runs in paid-ads and non-paid versions. Two Quiz submitted triggers split on the overall score (0–70 and above 70).
- An opportunity is created, then a condition tags the contact Severe (score < 71) or Mild (> 71) and adds them to the cold nurture.
- The paid-ads funnel sends people to a booking-focused or booking-allowed thank-you page depending on their result.
Coaching · System 2 · Nurture
A five-email story that listens for replies
More than a thousand contacts had shown interest once and then gone quiet. Emailing them by hand wasn't realistic, and a generic newsletter wouldn't move them.
- A random 50/50 split sends half the list a long first email ("Set the stage") and half a shorter version, so the coach can compare the two.
- The emails tell a story: Set the stage → The turning point → The epiphany → …, each followed by a wait for a reply (3 days, then 7).
- A reply tags the contact Warm_lead, sends a personal follow-up 10 minutes later and finds/updates or creates the opportunity.
- A trigger-link click moves the contact to the warm branch at any point, and a pipeline-stage check stops cold emails to anyone who has already booked.
Coaching · System 3 · Scoring
A click is a signal
A cold lead who opens the clarity-call page three times is ready to talk, but nobody would notice until they booked, if they ever did.
- Trigger link clicked on the quiz landing page or the clarity-call link starts the workflow.
- It tags the contact, sends the team a "trigger link check-in" notification, and finds the non-paid opportunity: if found it is updated, otherwise one is created at Warm Lead (non-paid).
- A Data verification → compliance workflow (377 enrolled) keeps the list clean: a bounce, unsubscribe or spam complaint turns on email DND, and the contact is deleted if there is no phone number either.
Coaching · System 4 · Sales journey
From clarity call to kickoff, hands-off
After the call came a run of manual steps: send the offer, the payment plan, the agreement, the kickoff link. Each one was a chance to drop the ball.
- Booked: the contact is removed from the nurture, the opportunity is updated and tagged Journey: Clarity, and a pre-session reflection PDF and form goes out 33 minutes later.
- After the call: the coach gets an SMS. The workflow waits up to an hour for the offer-accept link click, then alerts the team if there's no click.
- Offer accepted: triggered when the Offer Document is completed in Documents & Contracts, or by a matching email reply. It sends the payment plan, with a reminder after 2 days if the stage hasn't moved.
- Agreement → kickoff → sessions: separate numbered workflows for paid, pre-booked (PB) and friends-and-family (FF) leads, with a reschedule loop for missed kickoffs.
Real estate · System 5 · Deliverability
Warm the domain before the first blast
Listing emails go to a list of more than 10,000 investors and operators. Sending to all of them at once from a new domain would have put it on blocklists in a day.
- The list is bulk-enrolled, and two Drip-mode steps release contacts in small batches, so sending volume grows gradually.
- Each contact gets the warm-up email, then GoHighLevel's Email verification action runs. A condition on isEmailValid tags valid and invalid addresses differently.
- A DND – hard bounced workflow (458) blocks bad addresses from every future send.
- Listing blasts are then iterated as versions: Restaurant, café & wine bar v5–v9 and Estate v3–v7.
Real estate · System 6 · Inquiries
Every inquiry knows its listing
With one generic contact form, the agent had to email back just to ask which restaurant the person meant.
- Each property has its own form (Italian restaurant & wine bar, Tribeca fine dining, a turnkey designer café, a French bakery, a Tuscan estate and others), 12 in a Listings folder.
- Each form has its own workflow: form submitted → listing tag → internal notification. The agent knows the property straight away, and the tag can be used to re-market similar listings later.
- An internal Listing Portal funnel lets agents submit a new Business / Asset Sale, Office Leasing or Retail Leasing listing from one page.
Structure
Where the volume is
The big numbers are in list management: the warm-up, the nurture and the hygiene workflows. The sales journey handles a few dozen people at a time, which suits a 1:1 coaching practice. Neither account uses a custom object. A Properties object linking one investor to many listings is the natural next step for the real-estate account, replacing today's per-listing tags.

How it's built
Tools and design choices
Let behavior score the lead
Quiz scores, replies and link clicks move contacts from cold to warm. Nobody tags them by hand.
Test the copy
A 50/50 split on the first email compares a long story with a short one on real traffic.
Protect the domain first
Drip, verify and suppress before the first real listing blast goes out.
One listing, one tag
Every inquiry tells the agent exactly which property the person wants.
